Overview
Kimley-Horn has an opportunity for a front desk receptionist for our Virginia Beach, VA office. We are seeking a friendly, organized, proactive, detail-oriented professional to provide the office with administrative support for a 100+ person and growing office of engineers, landscape architects and planners.
Responsibilities
Manning the front desk, answering the phone, greeting visitors and clientsEnsuring that office supplies are inventoried and ordered in a timely f ashion and stocked/organized within the officeCoordinating occasional large gatherings of out-of-town office visitors, including conference room set-up and break down
Managing Fed Ex/UPS/USPS including: ordering/printing postage and mailing supplies as needed; making labels; picking up the mail and distributing it; managing interoffice and other outgoing mailOrdering catering for internal and external meetings as requestedCoordinating the use and maintenance of fleet vehicles and special equipmentCoordinating travel for employees as requestedHiring of couriers or local printing companies to print/deliver plan sets to clientsPerform general clerical
duties including: photocopying, scanning, report binding, faxing, filing and preparing expense reportsUpkeep of organization in kitchens, production and supply roomsDaily light cleaning of the conference rooms, kitchens, production rooms and break roomOccasional deliveries to clients or government offices (mileage to be reimbursed)
Qualifications
High school diploma or equivalent requiredAbility to keep up with rapidly changing technologyOutstanding organizational and prioritization
skills with ability to meet deadlinesExcellent written and verbal communication
skillsStrong writing, editing and proofreading
skillsAbility to multi-task in a fast-paced environment and respond to multiple project managersProactive and detail oriented, working with a sense of urgencyPositive and client-focused with a take-charge mentalitySelf-motivated, ability to take initiative with tasks and projectsProficiency with MS Office including Word, Excel, PowerPoint, Outlook, and AdobeMust have a valid driver’s license
