Agile Decision Sciences (ADS), a wholly owned subsidiary of ASRC Federal, is seeking a Correspondence Management to support a DHA contract.

Work arrangement: Onsite

Clearance: Active Secret clearance

Responsibilities

Maintain and administer current management control procedures for processing incoming (external and internal) correspondence and operational actions in the Correspondence Management tool, ETMS2.Work closely with the leadership ensuring that all suspense’ are appropriately prioritized and prepared, coordinated, and completed within the required suspense time.Provide support to leadership to promptly complete all time-sensitive Review current procedures and identify processes that improve the operation of the correspondence management control system.Support action assignment, preparation, and disposition of correspondence following the guidance outlined in DoD Published Use electronic procedures as outlined in current DHA procedural instructions for correspondence, including the current electronic portfolio management system to track the status of staff action packages and retrieve information as required.Forward all documents to the originator of the document to ensure the originator document reflects any changes or revisions that might have occurred during the review process.Maintain and update the correspondence database spreadsheet detailing all incoming information via telephone, e-mail, correspondence, hard-copy documents, and all forms of electronic The database is searchable by date, title, source, control number, suspense date (internal and external), action officer, signature level, point of contact, and status. Provide a weekly report of urgent, open, due, and overdue correspondence actions to leadership. Support the government in the distribution of correspondence coordination actions to the appropriate action officers and subject matter experts.Support the government in the coordination of correspondence staffing actions with appropriate agencies and offices outside of DHA to include, but not limited to, Congress, Department of Veterans Affairs, Health Affairs, and other federal activities.Support the government in the coordination of classified information with the originator for declassification and consideration for public release.Support the government by working with the consolidated database developers to assist the government in defining the database structure, user interface, and functionality of the supporting automated systems, including other file managements systems such as: Medium Manager, exposure databases, and current electronic correspondence tracking system(s).Coordinate access requests from internal personnel to external database Support the government to ensure that all correspondence, documents, and electronic media are controlled, entered into the appropriate tracking database, and then submitted for appropriate coordination action as defined by the government.Facilitate coordination of DoD policy, including Directive-Type Memoranda, Issuances, Manuals, Instructions, and Directives through the DoD process from inception to Work with government subject matter experts to coordinate and perform administrative quality control and grammatical editing on correspondence written in response to inquiries from members of Congress, congressional staff, academia, and the media.Support the government in the distribution of completed correspondence (Congressional reports, responses to Congressional inquiries, memoranda, policy documents, ) via mail and electronic means to the appropriate recipients.Submit a monthly report to the government reflecting the status of correspondence actions (e.g., contacts, transferred, processed) for the Monthly Status Report. Experience

Minimum of 2 years of administrative support in a DoD environment or Government Public Health environment, utilizing a Correspondence Management tool such as CATAMS or ETMS2.Proficient with MS Office tools (Word, Excel, PPT, Outlook).Strong written and verbal communication.Ability to work with all levels of professionals.Able to meet strict deadlines; strong problem-solver. US Citizenship; ACTIVE Secret clearance.Ability to successfully pass a DHA background investigation.
